Administration Assistant - Part Time

About the Position

St Paul’s Anglican Church, Roma is currently looking for a part-time (approx. 16-20 hours per week) Parish Support Officer to support the Parish Priest, other Clergy, Parish Council and Parish Volunteers, with high level administration and clerical duties. The role will also support general ministry activities of the parish. 

As often the first point of contact, the Parish Support Officer plays a key role in the experience of all people who seek our assistance and services. This experience should be one of overwhelming Christian love, patience and compassion, signalling a deep respect for all stakeholders and those who seek or interact with our team at St Paul’s.

 

About You

We’re looking for a dynamic individual with strong administration skills, capable of anticipating and managing the requirements of a busy Parish effectively.  Requirements include:

  • Greeting and assisting visitors & clients, as well as handling incoming mail, calls and emails
  • Opening and closing of the church to visitors and tourists on a daily basis
  • In liaison with Clergy, taking booking details, provide pastoral information, process forms and required information in relation to Baptisms, Weddings and funerals
  • Managing central Calendars for Clergy, Parish, Hall and Room hire
  • Developing and maintaining easily understood electronic and hard copy filing and archiving systems, including liaison with the Diocesan Archives team as required
  • Organising and recording meeting minutes/meeting bookings and participating in regular meetings as required
  • Printing and preparing meeting agendas, minutes and financial reports in liaison with Treasurer, Wardens & Clergy
  • Assisting volunteers in the preparation, printing and distribution of such things as the Power point for Sunday Service, Pew Bulletin, Newsletters etc.
  • Weekly banking tasks, including data entry into the Parish finance system (XERO)
  • Creating and sending client invoices
  • Statement reconciliations/management of supplier invoices and supporting documents
  • Other ad hoc reporting, WHS and office administrative duties.

With a friendly, approachable and enthusiastic attitude, your attributes will include:

  • Demonstrated previous administration experience, with strong attention to detail
  • A sound knowledge and understanding of accounting software programs and Document Control programs
  • A high level of competence in the use of the Microsoft Office Suite, with the aptitude for learning new systems and software
  • An ability to manage a high and varied workload, work under pressure, organise priorities, meet deadlines and take initiative
  • Demonstrated ability to work autonomously as well as within a team
  • Well-developed communication (verbal, written and oral) and interpersonal skills, with the ability to establish useful networks
  • A manner which is accessible, responsive and flexible to handle the changing needs of the Parish
  • Good judgement, discretion and sensitivity when dealing with matters of a confidential nature
  • An interest in working with a Christian community; An openness for ecumenical matters and broader faith dialogue (desired)

 

Previous experience working for a faith-based non-profit organisation would be advantageous, but more importantly will be your ability to provide outstanding administrative support to the Parish and its people.

You will be required to hold a working with Children Blue Card.
